Customer Service Associate – Permitting and Inspections Department

The City of Portland's Permitting & Inspection department services as a one-stop permitting, licensing, and inspections shop. The department oversees building permits, code enforcement, business licensing, health inspections, housing safety, rental regulation, and zoning. We are currently looking for a Customer Associate to join our team! In this position, you'll play a vital role in ensuring a smooth and seamless experience for our customers. As the first point of contact, you'll provide support services and handle technical and administrative duties. Your ability to manage multiple tasks with precision and efficiency will help us maintain our high standards of customer service. Duties & Responsibilities:

  • Primary responsibilities of this position involve administrative work requiring considerable accuracy, organization and attention to detail.
  • This position serves as the front line expert in managing customer service inquiries about permitting, zoning, inspections, and all other processes of the department.
  • Answering phones; assisting customers in person, by phone, and by email - strong communication skills both written and verbal are essential.
  • Scheduling inspections
  • Processing invoices for payment.
  • Responding to general requests for information, documents, and reports.
  • Document/archive management; as well as providing assistance to the public with the permit application process.

Requirements:

  • Must have excellent customer service skills.
  • Excellent interpersonal skills and the ability to maintain confidentiality in the performance of duties.
  • Ability to establish and maintain effective working relationships with city staff, the general public and deal with public relation problems in a courteous and tactful manner.
  • Must possess working knowledge and experience with a multi-line phone system.
  • Working knowledge of modern office practices, procedures and equipment, particularly as applied to computer applications.
  • Working knowledge of Google Suite applications, and electronic permitting software.

Desired Experience:

  • Experience with Munis and/or EnerGov
  • Experience in multitasking in a busy office environment, either municipal or private sector.
  • Experience in data handling, data management and data processing either in a municipal or private sector environment.

Schedule:

  • Full-Time (37.5 hours/week)
  • Monday-Friday 8:00 am-4:30 pm with potential for a flexible work schedule.

Salary & Benefits:
CEBA Union position – Grade 11 - Pay range starting at $21.20/hour.
