OFFICE ADMINISTRATOR and BOOKKEEPER 

The Freeport Sewer District is seeking a detail-oriented Part-Time Bookkeeper and Office Administrator to manage administrative, financial, and HR-related functions. This role is essential to the daily operations of the District, ensuring efficient office management, financial oversight, and outstanding customer service.  The ideal candidate will have strong bookkeeping skills, proficiency in bookkeeping software, and a professional, team-oriented. 

This is a part-time hourly position with flexible hours, averaging 20-25 hours per week. Wage dependent on experience. 

Key Responsibilities include but not limited to: 

  • Weekly bookkeeping, data entry, and payroll duties.  
  • Answer phone calls, welcome and assist visitors, and provide customer service.  
  • Manage and process payments for accounts payable including tracking and assembling invoices and associated documentation, submitting checks for approval. 
  • Assist with federal requisition loan process for our upgrade project. 
  • Reconcile accounts receivable with billing company and monitor cash flow. 
  • Create monthly and year-end financial reports through Quickbooks online. 
  • Coordinate procurement of outside services and maintain thorough  records. 
  • Assist with annual audits and maintain investment and bank account records.  
  • Place, discharge, and track  liens. 
  • Order office supplies and handle mail distribution. 
  • Maintain and update personnel records, including payroll, benefits, and tax filings. 
  • Assist with other financial and administrative duties as needed. 

Qualifications 

  • College degree with a major in accounting preferred. 
  • Experience in bookkeeping, accounting, or office management. 
  • Proficiency in QuickBooks Online and Microsoft Office Suite.  
  • Strong written and verbal communication skills. 
  • Excellent organizational skills, and attention to detail. 
  • Willingness to participate in ongoing training related to position responsibilities.
