GENERAL INFORMATION: Department: Public Works
Barg. Unit: Maine Service Employees Association (MSEA)
Status: Full-Time, 40 hours/week
Grade: 14 [$21.18 – $23.87/hour, based on experience]
Schedule: Monday-Friday, Days (7:00am-3:00pm)
EDUCATION AND EXPERIENCE: High school diploma or equivalent required, associate’s degree preferred, with one (1) to three (3) years relevant experience; or equivalent combination of education and experience. Desired candidates will be clear and effective communicators and have experience with processing payroll, invoices and other general office practices.
WORK ACTIVITIES: Process payroll daily for Public Works staff and audit for accuracy before submitting final weekly payroll. Complete and maintain payroll-related forms for all Public Works employees. Regularly review applicable bargaining agreements (contracts) for unions within Public Works to ensure understanding and accurate processing of items within; including accurate and up-to-date records for employee bonuses, stipends and miscellaneous contract allowances. Maintain seniority lists and training records for employees. Process invoices weekly for payments in accordance with accounts payable processes. Reconcile monthly statements with vendors and appropriate City personnel. Track incoming materials and reconcile against invoices and purchase orders. Maintain records of fuel consumption, vehicle maintenance and completes monthly billing for all departments and non-municipal entities. Utilize working knowledge of the accident reporting process and worker’s compensation reporting steps. Maintain records and process reports using multiple computerized programs/software systems. Perform other duties as assigned.
