Accounting Assistant - Greater Portland Metro

Greater Portland Metro is looking for an Accounting Assistant who can provide technical and clerical accounting support for our Finance functions.  Join a growing organization in a position that involves the application of basic accounting knowledge and analytical skills to perform accounts payable and accounts receivable functions, review daily cash up and prepare deposits, reconcile accounts and assist with other accounting tasks such as preparing for the annual audit.  Successful candidate will be a reliable performer with attention to detail, a solid understanding of accounting principles, and experience working with AP, AR and handling cash.  Experience with Tyler Munis accounting software is a plus.  Great pay and a full benefits package including paid time off, retirement plan with a 6.5% match, healthcare, dental, vision, parking and more!    

Essential Aptitudes and Functions:

General knowledge of accounting principles and procedures and understanding of basic Accounts Payable, Accounts Receivable and cash handling transactions and tasks. 

Working knowledge and experience using automated integrated financial systems.

Experience creating and using electronic worksheets and databases to perform finance functions. 

Understanding of fiscal security, such as separation of duties and proper cash handling procedures.

Demonstrated ability to communicate effectively, orally and in writing, with both financial and non-financial personnel.

Maintain positive working relationships with staff, vendors, customers and the public.

Ability to assist colleagues and members of the public, demonstrating effective customer service skills.

Ability to work collaboratively as part of a team.

Ability to prioritize projects and tasks and complete work efficiently to meet deadlines.

Minimum Qualifications:

Experience – Working knowledge of and experience working with an automated financial system. Experience applying accounting principles and procedures and understanding of basic AP and AR transactions and tasks.  Experience with cash handling, preferably in a cashiering capacity, and also ability to perform reconciliations.  Experience creating and using Excel worksheets. Experience in preparation and verification of vendor payments, maintaining vendor accounts, and issuing checks. Experience processing invoices and maintaining customer files. Excellent customer service skills, experience dealing with the public, vendors and customers. Dependability, attention to detail, ability to work independently and take initiative.

Education – Associates Degree in Accounting or equivalent discipline.

Core Job Functions –

Process invoices for payment, after reconciling with purchase orders and acknowledgements of receipt.  Maintain activity detail files for certain expenditures and evaluates variances.  Perform weekly check run and mail checks with remittance information.  Set up and maintain vendor files. 

Prepare and send customer invoices and monthly statements.  Maintain accounts receivable subsidiary accounts, perform aging analysis and follow up on past due amounts. 

Ensure daily processing of fare box cash receipts, which includes counting and preparing deposit.  Verify reconciliation of customer service daily cash ups and combine to prepare deposit and facilitate receipts posting.  Maintain customer service stock of fare media.  Assist with reconciliation of electronic fare media payments.

Perform monthly bank reconciliation using the automated accounting system.

Assist with annual financial audit preparation.  Assist with preparing for Federal reviews. Perform various tasks associated with analysis of expenditures, revenues and inventory.  Perform related work as required and general assistance with overall finance and administration tasks.

Professionally represent Metro in all settings, and also provide occasional backup front desk reception or other central office duties; participation and assistance with agency events.

Dependability, attention to detail and ability to work independently.

Perform related duties as assigned.

Computer Skills - Demonstration of competency using Microsoft Office Products (Word, Excel, PowerPoint, Outlook and Access). Experience with Financial Management Software Systems.

Physical Demands / Work Environment:

Physical Demands - This position functions primarily in an office environment involving use of a computer and working with electronic and physical filing systems.

Work Environment - This position mostly involves administrative work in an office environment and can involve interacting with line level employees in a bus operations and maintenance work environment.
