The Town of Freeport is currently seeking to replace 2 printer/copiers located at Town Hall. The current machines are Xerox Altalink B8055s. The Town Hall - Finance machine supports all administrative departments, and is used as a copier, printer, fax and scanner. The Town Hall - Planning machines also supports all administrative departments and is used as a copier, printer, and scanner.

Please include three-year maintenance agreements with each copier as a part of this bid; please present the copier cost and the maintenance costs separately.
Proposals may include cost analysis for leasing versus buying. All requirements listed above must be addressed in the bid submission; failing to submit the above criteria may result in a bid being dismissed.
Bid Timing
Bids sent to potential vendors via e-mail, posted on www.freeportmaine.com website, and cable TV: by Wednesday, January 25th
Bid Due Date: Tuesday, February 21st at 9:00 AM at Town Hall. Please submit two copy of bids in a sealed envelope marked “Town of Freeport Copier Bid”. All bids will be opened at 9 AM on February 21st, and no late submissions will be accepted.
Bid Parameters
The Town reserves the right to receive bids from any vendor, The Town of Freeport reserves the right to reject any and all proposals for failure to meet the requirements contained herein, to waive any technicalities and to individually select the proposal which, in the Town’s sole judgment, best meets the requirements of the services requested.
The RFP creates no obligation on the part of the Town to award a contract or to compensate the proposer for any costs incurred during the proposal presentation, response, submission, presentation, or oral interviews (if requested/held). The Town reserves the right to award a contract based upon proposals received without further discussion or negotiation. Proposers should not rely upon the opportunity to alter their qualifications during discussions.
The Town further reserves the right to make investigations as it deems necessary to determine the ability of proposers to furnish the required services, and proposers shall furnish all such information for this proposal as the Towns may request.
Proposers must specifically identify any portion of their submittals deemed to contain confidential or proprietary information.
